Essential pre-event information for presenters and workshop leaders

For presenters and workshop leaders joining us in Dartington

Finding us, finding help

Sentient Performativities presentation and panel sessions will take place in studios 1, 3 and 6 in Dartington Space, also known as Lower Close.  Please follow signs from the car park or from your accommodation in the Courtyard or Higher Close.

Members of the Art.Earth team will set up a production office in Studio 5 in Dartington Space, just off the Garden Room.   If you have any questions or need help, please come and find us.

Workshop participants finding outdoor workshop locations

Several Sentient Performativities workshops will be taking place in various sites across the Dartington Hall estate.  We have provided some information in the site map printed on the back of our programme; however ALL workshop participants will assemble in the Lobby (or elsewhere if shown on the programme) to be collected by session workshop facilitators.  Please take account of this when planning the start of your workshops.   If this will be challenging, speak to us and we will see if someone signed up for your workshop also knows the Dartington site and can act as a guide to help others to find you.

AV equipment in presentation studios

Each of the studios is equipped with a computer and projector and with sound equipment. A microphone is not required in Studios 3 and 6 but we will have one available if you feel you need it.

Please bring your presentation on a USB stick either as a PowerPoint or using Keynote (Apple Mac only).  If you are showing video as part of your presentation please don’t rely on showing video content live from the internet.  The internet connection is not always reliable and as we are running a hybrid event the bandwidth will be compromised.  The best solution is to embed any video you want to show in your PowerPoint / Keynote presentation.  If that’s not possible please make sure the video is also on the stick.

Please arrive for your session fifteen minutes early.  A session is a group of three presentations.  Whilst your presentation might be between 12:00 – 12:30 (for example), the session block of three will start at 11:30am and run until 13:00.   Arriving early will allow time for you to load your presentation on to the main computer before the first presentation begins.  This helps to ensure that there is minimal disruption between presentations as they will run back-to-back.  Please plan to stay for your whole 90-minute session (not just until the end of your own presentation) as there may be questions for you at the end.

One of the bursary stewards supporting the symposium will join you 15 minutes early in the space to help you transfer and test your presentation before the presentation session begins.  If there are any issues, they will come and find a member of the Art.Earth team to help.

Don’t plan to use your own laptop or tablet as this slows things down considerably and can cause tech mayhem.  The tech set up for this hybrid event is complex and we will only be using our own equipment.

All presentations will be streamed to an online Sentient Performativities audience on Zoom, which means that we will have camera and microphones set up to capture the sessions for live broadcast.   Please be aware that we do not have any camera operators to follow action around the studio – we’ll set up the camera around the lectern or to capture a panel discussion and if you roam from this area, the people following the event online won’t be able to see you or hear you.   When you arrive early to upload your presentation you will be able to have a look and see where the boundary of the camera shot is.

The event platform

We will be using Zoom Events to run this hybrid symposium.  We’ve created ‘how to’ pages with information about using Zoom Events on our website here: https://performativities.info/zoom-instructions/

Finding us, finding help

If you are looking for help when you are in Zoom, the best place to ask is in the ‘lobby’ chat.

Joining your presentation or panel session

The Zoom instructions on our website give a visual guide showing you how to find your session from the event lobby, and how to enter ‘backstage’.

All event presentations will be ‘webinars’ which means that you’ll only be able to see your fellow presenters on screen.  Delegates can watch and ask questions, but won’t appear in video alongside you.  Zoom webinars operate a ‘backstage’ in which we can meet you and chat to you without broadcasting to the symposium audiences.

Please arrive ‘back stage’ for your session fifteen minutes early.  A session is a group of three presentations.  Whilst your presentation might be between 12:00 – 12:30 (for example), the session block of three will start at 11:30am and run until 13:00.   Please look at the online programme to see where you are in your session block.

A member of the art.earth team will meet you back stage.   Arriving early will allow the time needed to resolve any unforeseen technical hitches, make sure that you can open your presentation by sharing your screen etc.

A member of the Art.Earth team will introduce you to the audience and flick the correct switches so that you appear in the broadcast, and remove you at the end.

Please plan to stay for your whole 90-minute session (not just until the end of your own presentation) as there may be questions for you at the end.

Joining your workshop session

Sentient Performativities online workshops are set up to be just like Zoom meetings – which means that you will be able to see everyone in your session and they can see you.  Workshop sessions are only open to those who have signed up and not broadcast into the event lobby, as workshops should be a safe space for those participants only.

We have arranged for a bursary steward to meet you in the space ahead of the session taking place to make sure you have what you need and everything is working as it should.  They can contact one of the Art.Earth team if not.   Our hope is that people using the online platform are generally comfortable with Zoom and know how it works.

Any questions or challenges with any of the online event, please put queries or calls for help into the lobby chat and someone will respond as soon as possible
